Describe the space and condition
Share a floor plan or measured area, room count, washrooms, kitchen, floor surfaces, occupancy, current condition, operating hours, parking and building access. Identify restricted zones, alarm procedures and security requirements.
List tasks and service frequency
Specify vacuuming, mopping, dusting, washrooms, kitchen, bins, glass, consumables and the required frequency. Initial or periodic deep cleaning, carpet extraction, high windows, floor restoration and waste handling may be separate work.
Understand quote assumptions
Ask whether pricing is per visit, hourly, area-based or another method, and confirm staffing, products, equipment, supervision, out-of-hours charges, exclusions and variation terms. Do not rely on an unsupported cleaner-to-area productivity formula.
Compare proposals consistently
Give each provider the same site plan, condition details, task list, schedule and access assumptions. Request written inclusions and a process for inspections, missed items and site changes. Current, comparable quotes are more useful than general price ranges.
